Selling Property
What should I do if a requested sale document cannot be found?
Identify the missing record and approach its likely custodian through the professional handling that part of the sale.
For a missing deed, start with the notary who executed it or ask your lawyer to identify the archive holder. For registration evidence, ask the lawyer/notary which competent registry or cadastral service holds the relevant record. For permit drawings, ask the original engineer/architect and have your current engineer identify the building-authority archive route if needed. For tax-property records, check with your accountant and the applicable AADE service. These are retrieval starting points, not guarantees that an old record can be replaced.
Record the request date, reference, fee if quoted and expected next action. Have the sale team confirm whether a copy is sufficient or further current evidence is needed. Tell the agent which claims must remain unverified while retrieval is outstanding.
Practical considerations
- Do not reconstruct a historic document yourself.
- A retrieved copy does not resolve inconsistencies automatically.
