Agents & Partnerships
How should I keep a clear record of client communications?
Keep dated, factual client summaries in the authorised record; the client form includes Notes, but no complete message-history sync is established.
When creating a client in /agent-dashboard/clients, use the Notes field for relevant factual context, dates, property reference and next action. Check for an existing client before adding another. If the existing record cannot be amended through the controls shown, ask the team where the follow-up should be recorded; do not assume a comprehensive messaging archive exists.
Separate a requested viewing, submitted enquiry and confirmed appointment. Identify the responsible person and pending confirmation. Limit personal information, preserve substantive correspondence securely under the approved process and ask the privacy contact about retention rather than copying entire sensitive email threads into notes.
Practical considerations
- Notes are not proof of consent, reservation or commission entitlement.
- Do not assume external emails synchronise automatically.
- Use only authorised storage and access.
