How should I organise powers, consents and signatures during a purchase?

Keep a clear record of who must sign what, and confirm each requirement with your lawyer before the signing appointment.

Create a signing responsibility map

List the parties involved, their proposed roles and the document each is expected to sign. Separate the purchase deed from powers of attorney, consents, declarations and supporting applications. Use the lawyer's and notary's instructions to build the list rather than assuming every owner or family member has the same role.

Ask your Greek lawyer to verify who can act for whom and whether existing authorities cover the proposed transaction. The notary should confirm the documentation and identity checks needed for the signing arrangements. If a party is abroad or needs interpretation or accessibility support, raise that early so acceptable arrangements can be explored.

For each item, track the current draft, responsible signatory, receiving professional and any outstanding evidence. Do not pre-sign blanks or reuse signatures from another document. Confirm changes to parties, ownership details or authority before the appointment. After signing, ask who will handle registration and what evidence of the completed process you should receive; signing and registration are separate stages to track.

Practical considerations

  • Separate deeds, powers and supporting declarations.
  • Confirm authority against the actual transaction.
  • Track registration follow-up after signing.
