How can I record temporary custody of original property documents?
Use a custody log when originals leave your storage and ask the receiving professional to confirm what they hold.
Record custody without altering originals
Prepare an inventory before handing over original documents. Describe each item by issuer, date, reference, page count and attachments, and note any visible damage. Where appropriate, keep a readable scan for reference without implying that the scan will be accepted instead of the original.
Ask the recipient to acknowledge what they received, the purpose of custody and any proposed onward transfer. Record the organisation, named contact, handover method and agreed arrangements for return. If a courier is involved, retain tracking and delivery evidence separately from the inventory.
Your Greek lawyer or notary can explain whether an original needs to be lodged, retained or shown for the particular procedure. Do not write on, staple through or remove official seals merely to make filing easier. When documents return, check them against the inventory, including attachments, and record discrepancies promptly. A custody receipt helps establish possession and handling; it does not itself verify authenticity, ownership or the completeness of the legal file.
Practical considerations
- Obtain an itemised receipt.
- Agree any onward transfer in advance.
- Check returned originals against the inventory.
