Rentals & Property Management
What should I ask before changing property managers?
Review the existing agreement and plan the transfer of bookings, records, money and access before appointing a replacement. Have termination obligations checked by a lawyer rather than assuming an informal handover is enough.
Understand the existing arrangement
Gather the management agreement, later amendments and any platform or supplier arrangements made on your behalf. Ask your lawyer to verify termination provisions, outstanding obligations and ownership or control of accounts. Do not assume that a property listing, guest database or service contract can simply be reassigned.
Plan operational continuity
Identify upcoming stays, unresolved guest requests, maintenance work and payments still to be reconciled. Agree who will communicate with guests and suppliers during the transition. The incoming manager needs an accurate position, not just a set of keys and a list of future arrivals.
Transfer records securely
Prepare an inventory of keys, access devices, equipment records, invoices and property instructions. Arrange authorised account changes without sharing personal passwords. Ask a suitable adviser to confirm how guest information may be transferred and retained.
If the property is let, verify whether registrations, licensing records, insurance notifications or operator details need updating with the relevant authority or professional. End with a documented reconciliation and an agreed list of matters that remain with the outgoing manager.
Practical considerations
- Obtain legal review before giving notice.
- Protect continuity for existing guests.
- Reconcile open balances and tasks.
- Verify operator and registration changes.
- Transfer access securely.
