Rentals & Property Management
How can a manager keep guest conversations consistent across team members?
Use a shared booking record with a named owner for each open request. Record confirmed commitments so that a change of shift does not produce conflicting instructions.
Establish a single operational record
Keep guest messages, agreed arrangements and unresolved questions linked to the booking. Where communication arrives by telephone or another channel, add a concise factual note to the shared record. Avoid scattering decisions across personal messaging accounts that colleagues cannot access appropriately.
Separate requests from commitments
A guest asking for early arrival is not the same as a confirmed arrangement. Mark whether a request is pending, approved or declined, and record who made the decision. Give staff an agreed source for property details so they do not improvise answers about facilities, services or access.
Make handovers explicit
At a shift change, highlight unanswered messages, promised follow-up and any unresolved safety issue. Assign the next action to a person rather than leaving it to the group. If incorrect advice has already been sent, correct it clearly in the guest conversation instead of silently editing an internal note.
Limit access to guest information according to staff responsibilities. Have the organisation’s privacy arrangements checked by a suitable adviser, including retention and use of external communication tools.
Practical considerations
- Name an owner for open messages.
- Label requests separately from approvals.
- Record telephone commitments.
- Restrict access to guest information.
