How can I prepare an incomplete expense receipt for accountant review?

Keep the receipt as received, attach any supporting evidence and flag missing details for your accountant.

Preserve the evidence and flag the gap

Keep the receipt exactly as received, including an electronic original or a scan of a fading paper version. Note what appears to be missing, such as the supplier identity, description, date or link to the property. Do not add details to the supplier's document yourself.

Attach relevant supporting material separately: an order confirmation, contractor correspondence, delivery note or bank payment record. Explain the purpose of the expenditure and who incurred it. A bank entry may support evidence of payment without establishing every detail an invoice would provide.

Ask the supplier whether a corrected or replacement document can be issued and preserve the correspondence. Send the accountant both the original evidence and the clarification, clearly labelled. They should assess whether it is sufficient for the intended reporting and whether further action is needed under the applicable AADE requirements. Avoid discarding an imperfect document or claiming that the expense is necessarily allowable or disallowed before professional review. Keep the issue on an exceptions list until resolved.

Practical considerations

  • Never edit the supplier’s source document.
  • Attach payment evidence separately.
  • Ask the accountant to assess sufficiency.
