How can I prepare a records pack for a tax enquiry with my adviser?
Ask your adviser to define the enquiry scope and organise relevant records against their request list.
Match the pack to the enquiry
Give your adviser the complete official communication and any evidence of how it was delivered. Ask them to identify the scope, relevant periods and documents required before you assemble a large collection. Preserve the original notice and avoid assuming that a request for information is a final assessment.
Create an index matching each requested item to its source document. Include relevant returns, assessments, invoices, contracts, bank records and explanations as directed. Distinguish contemporaneous evidence from a summary prepared now; label reconstructions and unresolved gaps honestly.
Do not alter source records, invent missing receipts or submit speculative explanations to make the file look complete. Ask the adviser how missing or inconsistent evidence should be addressed and whether legal input is needed. Agree who is authorised to communicate with AADE or the authority concerned and who will approve any factual response. Keep an exact copy of the material submitted, together with submission evidence and later correspondence. An orderly pack supports the review but does not determine the enquiry's outcome.
Confirm the response timetable before collecting records
Ask the adviser to confirm the response due date, how receipt or service of the notice affects it, and who is responsible for the reply. If records cannot be gathered in time, ask whether an extension can be requested, who will request it and how approval will be evidenced. Do not assume that appointing an adviser or asking for more time suspends the deadline. Track any accepted extension and obtain submission acknowledgement for the eventual response.
Practical considerations
- Index evidence against the actual request.
- Label reconstructions and missing material.
- Retain the exact submitted pack.
- Confirm time limits and the person responsible for timely action.
